1 - Introductions
     Ebony-- Co-chair professional side (4th year on committee)
     Erica-- Co-President BU section of SWE
     Tracey-- Co-President BU Section of SWE
     Ura-- Treasurer BU Section of SWE
     Samantha-- Co-Chair on student side (stays on-call for progress reports)
     Heather-- committee member
     Eleanore-- committee member
       -possibility of two co-chairs on student side, get lots of work come early Spring
       -weekly meeting, grow longer through time (2hr max near the end of the year)
       -goal, lots of work before call, call helps keep everyone updated and at the same place
       -keep minutes for meetings and post online

2 - Review Time Line (high level)
       -suggested dates are for last year, see excel sheet
       -focus more about it on the next call once they're updated

3 - Understand Roles (Co-chairs/meeting moderators, timekeeper, secretary/minute-taker)
       -Samantha's going to keep notes unless leading. Will lead when Ebony is unable to make the call
       -speaker committee-
          -get ideas about who will speak, when, where, what ideas from students and other professionals (1-2 people heading, professional and student)
          -have last year's speakers list
          -arrangements for speakers
       -logistics committee-
          -heavily involves students, organizing on campus, reserving rooms on campus
          - counselor and co-chair are contact persons
          - give information to speaker committee as t what the speak would need (like microphones, laptop hookups, etc.)
       -publicity committee-
          - keeping the website updated (Heather, Tracey)
          - Jeanne Trinko-Mechler has information about that
          - puts together the program, basically take template and edit from last year (90% is speaker bios)
       -registration committee-
          - basically treasurer on professional side, funding, registration for career fair and to reserve a booth
       -career fair committee-
          - contact businesses and companies and give them a deadline to respond to letters, booth equipment, where to go for directions, lighting, etc.
       -trips and hotels committee-
          - organizes hotels, block off X rooms, room-sharing, ride-sharing
          - through SWE community online?
          - group people together based on where they're coming from, send e-mails and let them take care of specifics
       -gifts committee-
          - every year there are gifts
          - bags left over from last year, just order more
          - decide how many more to order and place it
          - notebooks, pencils, programs, school may donate (college of ENG), some companies may donate some things
       -time keeper is needed to keep us on track
       -Karen Panetta as a keynote speaker?
          - she's certainly interested in helping out
          - Erica will send an e-mail

4 - Date/Theme/Locations
          -theme based on last year, but tailored toward BU (get some ideas over the week)
          -plan to have the regional conference the weekend before Easter 2010

5 - Meeting Times
          -weekly meetings Wed nights at 8pm during semesters
          - if Wed does not work, we can switch to Mon at 8pm
          -during the summer we'll meet at 7pm on Thursday
          -same call number and code

6 - Other
          -should have committee people taken care of by Sept and look at timeline to get things rolling
          -biggest focus currently about possible speakers
          -room size is very important, be sure they're large enough
          -last 3 years, offered people on the committee to go to the site where everything's held to look at rooms and take pictures and get general information (usually by November)
